The Club uses PaySubsOnline.com to provide membership management and payments. Paying online is more convenient and reduces the administrative workload for the club officers.
PaySubsOnline.com is used for:
- Membership subs
- Coaching payments
- England Athletics affiliation payments
- Voluntary donations
- Social events (£20+)
- Junior waiting list (no money involved)
Using PaySubsOnline, you can pay by credit/debit card or directly to the club bank account. No financial information (bank details, credit card information etc) is held by PaySubsOnline, and club officers have no access to it either – this information is held securely by the payment facilitators PayPal and GoCardless (see below).
Members and parents require a PaySubsOnline account. You set that up yourselves and decide your own password, and the account becomes active after you have responded to a validation email. Couples and families can manage multiple people through the same account. Details for existing members and parents have been pre-loaded but the accounts still need to be activated.
Payment requests added to your account will be notified by email from PaySubsOnline. These are requests, not demands, and can be removed by a club officer if not applicable. Payments by cheque or cash can still be accepted but will have to be applied manually to your account by the Treasurer. Members unable or unwilling to open a PaySubsOnline account will need to liaise with Membership or Treasurer to manage their details.
New members and parents should use the Registration page first. It is possible to add multiple members and children at the same time and, although each will have their own record, the accounts will be linked for payment purposes. If you wish to subsequently add a record, these can be linked afterwards by Webmaster on request.
Existing members and parents will already be known to PaySubsOnline. First-time, follow the link to create your own password. Contact email@example.com if your email address is not recognised; it may be that the Club has out-of-date details.
New joiners (including Junior Waiting List): Login will fail because your email has not been pre-loaded; use this link to Registration instead. Please use a private email address; people change jobs, and company firewalls may block our emails.
Access to your data
Of the club officers, only Membership, Treasurer and Webmaster have access to the full membership lists. Junior coaches have access to a subset for the purpose of monitoring attendance and for emergency contacts.
MailChimp is used for sending group emails to the membership. Your name, email and membership catgeory are held by MailChimp and managed by Webmaster.
Debit / Credit Card Payments are processed by PayPal
All financial information (like bank account details and credit card numbers) is securely stored and encrypted on their servers so you don’t need to share your financial information with the person sending the money and expose your details online.
In addition, your transactions are monitored 24 hours a day, seven days a week, by a dedicated team of security specialists whose sole purpose is to identify suspicious activity and help protect you from fraudulent transactions. If a transaction doesn’t go as planned, or you’re worried about anything at all, like fraud or phishing, it’s easy for you to report issues and get help.
Direct Debit and bank transfers are processed by GoCardless
Registered with the FCA, GoCardless accesses the Direct Debit network through its sponsor bank, The Royal Bank of Scotland. Direct Debit is the UK’s preferred way to take regular payments with over £1 trillion collected each year.
Direct Debit payments are backed by the Direct Debit Guarantee which protects customers from payments taken in error. In the case of any incorrect or fraudulent payments, the payer is entitled to a full and immediate refund from their bank giving members who pay by Direct Debit complete peace of mind.
The Data Protection Act places certain obligations on organisations which manage personal information on individuals. The Act regulates how these organisations use the personal data and protects people from misuse of their details.
There are eight data protection principles that organisations must comply with:
- Fairly and lawfully
- Processed for limited purposes
- Adequate, relevant and not excessive
- Not kept for longer than necessary
- Processed in accordance with your rights
- Kept secure
- Not transferred abroad with adequate protection
Additionally, individuals have the right to access the information you hold about them. PaySubsOnline.com is fully compliant with the Data Protection Act and gives organisations the tools to manage their member’s details in accordance with the Data Protection principles.
